Production Pipeline — How a Project Moves Through Our System

1 · Intake & Scope Definition

You submit a dispatch request. We respond within one business day with a scope document, estimated timeline, and fixed-fee quote. No ambiguity, no hourly billing.

2 · Creative Brief & Script Development

Our scripting team drafts a treatment or storyboard. You review in a shared document with inline comments. Revisions are unlimited at this stage — we don't move forward until the brief is locked.

3 · Production Day(s)

Crew deployment, location or studio shoot, multi-camera capture, audio recording. We handle permits, talent coordination, and equipment logistics.

4 · Assembly & Rough Cut

First assembly delivered for review within 48 hours of wrap. You get a private review link with timecode commenting.

5 · Fine Cut, Grade & Sound

Colour grading, sound design, music licensing, motion graphics — all applied to the approved cut. Two rounds of revision included.

6 · Mastering & Multi-Format Delivery

Final master encoded for broadcast (ProRes 4444), web (H.264/H.265), social (vertical, square, landscape), and any custom specs. Files delivered via secure transfer link.

"We've run nine projects through Video Elemental in fourteen months. Every single one delivered on time and within budget. That consistency is rare." — Declan Firth, CMO, Meridian Health

Technical depth matters

"They understood our broadcast delivery spec on day one — no back-and-forth about codecs, colour space, or loudness standards." — Aoife Brennan, Producer, RTÉ Factual

★★★★☆

Responsive under pressure

"We needed a 90-second cut turned around in 36 hours for a product launch. They pulled it off with zero compromise on quality." — Marcus Tully, Founder, Skyward Labs

Why an Operations-First Approach?

Most video companies sell you a reel and a promise. We show you the machine. The status board above is real — it reflects actual queue depth and capacity. When you submit a dispatch request, it enters a tracked pipeline with defined SLAs at every stage.

This transparency exists because video production fails most often at the operational layer: missed deadlines, unclear revision cycles, surprise costs. We eliminated those failure modes by building a production system first and a creative studio second.

The result: 93% of our projects ship within the originally quoted timeline. The remaining 7% are scope expansions initiated by the client.

Route Planner — Match Your Need to a Production Route

Not sure which lanes apply? Use this decision guide to identify your route before submitting a dispatch request.

Route A — Full Production

You need everything: scripting, filming, editing, grading, sound, delivery. Typical for brand films, documentaries, product launches, and corporate communications. Timeline: 2–6 weeks depending on complexity.

CaptureEditGradeMotionSoundDistribute

Route B — Post-Production Only

You've already shot your footage. You need editing, colour, sound, and delivery. Ideal for agencies, in-house teams, and independent filmmakers. Timeline: 1–3 weeks.

Route C — Motion & Animation

No live footage needed. Explainer videos, animated infographics, title sequences, social media motion content. Timeline: 1–4 weeks depending on length and complexity.

Route D — Quick Turnaround

Event coverage, social cuts, rapid edits from existing assets. Delivery in 24–72 hours. Limited revision rounds. Best for time-sensitive campaigns and live event recaps.

What file formats can you accept for existing footage?
We accept virtually every professional and consumer format: ProRes (all variants), DNxHD/DNxHR, RED R3D, BRAW (Blackmagic RAW), ARRIRAW, Canon Cinema RAW, Sony XAVC, H.264, H.265/HEVC, and MXF containers. If you have footage in an unusual format, send us a sample file and we'll confirm compatibility within the hour.
Do you handle music licensing?
Yes. We maintain subscriptions to Artlist, Musicbed, and Epidemic Sound. Licensing fees for these libraries are included in our quotes at no markup. If you need a specific commercial track, we can negotiate sync licensing on your behalf — those costs are passed through at cost plus a 10% administration fee.
How do revision rounds work?
Every project includes two rounds of revisions after the fine cut stage. A "round" means one consolidated set of feedback — we ask you to gather all stakeholder notes into a single document before submitting. Additional rounds beyond the included two are billed at a flat €180 per round, regardless of the number of individual notes.
Can you work with our existing brand guidelines?
Absolutely. We regularly work within strict brand systems. Share your brand book, colour codes, font files, and logo assets at the intake stage. Our motion graphics team will build templates that conform to your visual identity from the first frame.
What does "fixed-fee quote" mean exactly?
It means the price we quote is the price you pay — provided the scope doesn't change. We don't bill hourly. If a task takes us longer than estimated, that's our problem. If you expand the scope (e.g., adding a second language version or extending the runtime), we issue a change order with a new fixed price before proceeding.

Working Principles

  • Fixed pricing over hourly billing. Scope is defined upfront. The quote is the invoice.
  • Transparent queue visibility. The status board is not a marketing gimmick — it's an operational tool we share with every client.
  • Consolidated feedback. One round = one document. This eliminates contradictory notes and keeps timelines intact.
  • Format-agnostic delivery. We deliver what your distribution channels require, not what's convenient for us to export.
  • No lock-in. Every project is standalone. No retainers required, though recurring clients receive priority queue placement.
